The Junior Personal Assistant will provide essential administrative support to executives and senior staff. This position involves managing schedules, organising meetings, handling correspondence, and assisting with various tasks to ensure smooth and efficient operations.

Key Responsibilities:

Administrative Support:

  • Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.

Communication Management:

  • Handle incoming and outgoing correspondence, including emails, phone calls, and other forms of communication, ensuring timely and professional responses.

Meeting Coordination:

  • Organise and prepare materials for meetings, including agendas, reports, and presentations. Assist with logistics for internal and external meetings.

Document Management:

  • Maintain and organise files, documents, and records, ensuring accuracy and confidentiality. Assist in drafting and proofreading documents as needed.

Event Planning:

  • Support the planning and execution of company events, conferences, and other activities.

Research and Reporting:

  • Conduct research and compile reports on various topics as requested by executives. Assist in preparing briefing materials and presentations.

Collaboration:

  • Work closely with other team members and departments to facilitate effective communication and collaboration within the organisation.

Qualifications:

Education:

  • A degree or diploma in Business Administration, Office Management, or a related field is preferred but not mandatory.

Experience:

  • Previous experience in an administrative or assistant role is advantageous.

Communication Skills:

  • Excellent verbal and written communication skills, with the ability to engage professionally with diverse stakeholders.

Organisational Skills:

  • Strong organisational abilities, attention to detail, and proficiency in managing multiple tasks and deadlines effectively.

Technical Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software and tools.

Personal Attributes:

Professionalism, reliability, and integrity. Ability to work in a team environment. Empathy, cultural sensitivity, and respect for diverse perspectives and experiences.

Working Conditions:

Office environment with occasional site visits. Standard working hours are generally from 8:00 AM to 5:00 PM.
